Finance Administrator

Role Overview

Due to continued growth, AP UK is seeking a part-time Finance Administrator to support our existing finance team. The successful candidate will possess extensive experience, strong communication and interpersonal skills, and high computer literacy. This role focuses on accounts payable and receivables across all our entities. You will work closely with our in-house production team to ensure all projects are accounted for correctly.

We are looking for a proactive, highly organised individual who can quickly understand our business and navigate between different entities efficiently. Experience in both accounts payable and production is required to ensure no costs are overlooked and all projects remain accurate.

Key Responsibilities

AP UK

  • Monitor and action the accounts inbox according to the folder structure
  • Respond to accounts-related email queries
  • Process supplier invoices in Xero, ensuring correct PO allocation
  • Chase departments for Purchase Orders where required
  • Enter supplier bills into Xero
  • Process credit card and operational account bills
  • Apply credit notes to supplier accounts
  • Reconcile bank payments and receipts to accounting records

AP Live

  • Post invoices accurately into the accounting system
  • Reconcile bank transactions

Doom & Bloom Printing Co.

  • Monitor and action the accounts inbox according to the folder structure
  • Respond to account queries from suppliers and internal teams
  • Process invoices into Xero using relevant PO details
  • Chase missing Purchase Orders where required
  • Enter supplier bills and operational expenses into Xero
  • Process and apply credit notes

General Finance Duties

  • Raise sales invoices as required
  • Assist with maintaining purchase and sales ledgers
  • Support credit control processes where necessary
  • Perform bank reconciliations
  • Liaise with third-party providers, clients, and suppliers regarding financial queries
  • Provide general administrative support to the finance team
  • Organise and maintain accounts correspondence and documentation
  • Update and maintain finance procedures and documentation
  • Assist with month-end finance processes

Skills & Experience

  • Previous experience using Xero is essential
  • Experience in a finance administration or accounts payable role
  • Strong numerical and analytical skills
  • Excellent attention to detail and accuracy
  • Strong organisational skills with the ability to maintain clear records
  • Good IT skills, particularly spreadsheet software (e.g. Excel)
  • Understanding of credit control processes
  • Ability to work effectively within a team and follow direction
  • AAT Level 3 qualification or equivalent experience

E-commerce Store Setup Assistant

Role Overview

The E-commerce Store Setup Assistant provides technical and operational support to the E-commerce Integration Lead. The role focuses on the end-to-end configuration of Shopify stores, ensuring technical precision in theme customization, data management, and global logistics settings. This position requires a blend of front-end development skills and a rigorous approach to backend administrative setup.

Key Responsibilities

  • Platform Configuration: Execute full Shopify store setups, including payment gateways, checkout
    optimisation, and app integrations
  • Technical Development: Modify and maintain store themes using Liquid templating, HTML, CSS, and
    JavaScript
  • Data Management: Perform complex data queries and updates via GraphQL and manage bulk product data using Excel and Google sheets
  • Global Logistics & Compliance: Configure Shopify Markets, define localised tax jurisdictions, and establish multi-carrier shipping methods
  • Product Catalog Integrity: Maintain detailed product records, including the assignment of HS codes, weights, and dimensions for international trade compliance
  • Process Optimisation: Identify and resolve technical bottlenecks or configuration errors through proactive problem-solving
  • Internal Collaboration: Provide clear, consistent updates to the Integration Lead and warehouse teams to ensure digital setups align with physical fulfillment capabilities

Technical Requirements

  • Shopify Expertise: Proven experience in the technical administration of the shopify platform
  • Programming Languages: Proficiency in Liquid, HTML, CSS, and JavaScript.
  • API Proficiency: Practical experience using GraphQL for data manipulation.
  • Logistics Knowledge: Understanding of international shipping logic and global tax requirements.
  • Data Tools: Advanced proficiency in Excel and Google Sheets for data cleaning and bulk uploads

About You

  • Demonstrated ability to perform highly accurate and efficient configuration tasks.
  • Strong verbal and written communication skills for technical and non-technical stakeholders
  • Methodical approach to problem-solving and troubleshooting.
  • Ability to work onsite at the Reading office/warehouse for the duration of the contract.

Warehouse Operative

Job Role

We are seeking a self-motivated Warehouse Operative who enjoys working systematically and productively. The ideal candidate will have a proven track record of consistently achieving results in a warehouse-based environment and should be comfortable going beyond expectations to meet team goals. As part of the Warehouse Team, you will use your initiative and skills in organisation, planning, time management, and documentation. You will work alongside team members in a fast-paced environment, managing stock transfers and maintaining vital communication with all areas of the business.

Key Responsibilities:

  • Coordinating with external couriers for shipments.
  • Communicating with Customer Service regarding returns and shipment queries.
  • Conducting regular inventory counts to report missing or damaged stock.
  • Following all Health and Safety policies and procedures daily.
  • Informing the Production team of incoming stock for system updates.
  • Preparing accurate shipping documents, with attention to international delivery requirements.
  • Picking and packing items professionally to meet Allotment’s standards.
  • Using appropriate, environmentally friendly packing materials.
  • Monitoring packing material levels and alerting management for replenishment.
  • Troubleshooting basic computer issues to minimise operational disruption.

About You

  • Previous experience in a similar role, ideal, but not required
  • Safety awareness
  • Adaptability with larger projects and the high level of standards that are required

  • Accountability and understanding error, should it occur, and how to proactively deal with it
